Workflow Lifecycle in RiskOS™
Workflows in RiskOS™ move through a clear lifecycle—from creation to retirement. Learn the states, versioning, and key actions for effective management.
Workflow states
The State column on the Workflows page displays the current status of each workflow:
- Draft: Workflows start here when created and saved. Drafts can be freely edited and tested.
- Published: Once a workflow is built and tested, it can be published. Published workflows are frozen (cannot be edited directly) but can still be tested.
- To change a published workflow, you must either restore it (creating a new minor version) or duplicate it (creating a new major version).
- Live: A workflow that actively processes evaluations through the evaluation API.
- Live workflows cannot be edited directly. To change them, duplicate or restore first.
- Only one workflow per use case can be live at a time.
- Important: If an experiment (Champion–Challenger) is active, you cannot make a workflow live until the experiment finishes.
Workflow versioning
RiskOS™ uses major and minor versions to track workflow changes.
- Created when a workflow is duplicated.
- Example: Duplicating version 1.x.0 creates version 2.0.0.
Archive view
Workflows can be archived. Access the archive view from the three-dot menu by selecting View archived workflows Archived workflows can’t be published or edited, but they can be viewed or restored at any time.
Activity tab
Shows a timeline of all actions taken on a workflow’s major version.
Actions in the Workflow page
These actions are available depending on your role and permissions:
- Edit: Modify a draft workflow.
- Duplicate: Create a new draft based on an existing workflow. Produces a new major version.
- Publish: Freeze a draft and move it to the published stage.
- Make Live: Launch a published workflow (requires Move to Live permissions).
- The workflow immediately begins processing incoming traffic.
- Export: Download a workflow configuration (requires Review permissions).
- Archive: Move a workflow to the archive view (requires Review permissions).
- Archived workflows are not deleted.
- To access them, click the three-dot menu next to New Workflow → View archived workflows.
- Restore: Archived workflows can be restored to the Draft stage if needed.
Important indicators
When viewing the Workflow dashboard, look for these visual indicators:
- Workflows with errors: A red triangle icon in the Tags column indicates errors in the workflow.
- Experiment Active Workflow: A workflow currently in an experiment cannot be made live until the experiment ends. See Champion–Challenger for details.
